Subject:New features in your HarmonySite

Dear HarmonySite administrator,

We have a few new features to announce today.  Nothing major, but here are the recent improvements in the HarmonySite software...

·         Each ensemble (choir/chorus/quartet/etc) can now have its own Instagram Page.  If you enter an Instagram page for your website's primary ensemble, then an Instagram icon will show in the footer of most public-facing pages.

·         The "Birthdays/Anniversaries" calendar/page now also includes entries for the anniversary of the date each member joined your chapter/club (if that date is recorded in the system).  It displays the number of years that person has been a member.  e.g. "Fred Smith - member of XYZ Chapter 7 years".

·         The "Newsletters" system now includes a link (on the Newsletters page and in each newsletter email) to show a full printable version of the newsletter - with the full text of all news items and events included in the printout (not just summaries/introductions).

·         In the Assessments system, when members are submitting riser tapes to their section leaders, it is now possible for them to write their own self-assessment, for the section leader to read.

·         When sending out notification emails about new events, songs, documents, polls, etc - there's now a new option for sending the notification email JUST to yourself, for testing purposes.  Naturally you must be logged in as a member that has an email address in order to use that option.

·         For sheet music, learning tracks and other purchased song resources, it is now possible to record, for each file/resource, who the file/resource was purchased from, and the date it was purchased.

·         On the Availability/attendance report for an event, there is now a link on each line of the report to send emails to each corresponding group of members (e.g. a link to send an email to all members that attended, or said they will attend; another link to all members who said they can't make it, etc).

·         In the "Website Setup and Configuration" screen, there is a new tick-box (on the "Configuration" tab) that, when ticked, prevents any member from seeing the personal/contact details of any other member (for those groups that are very concerned about member privacy).

·         In the "Website Setup and Configuration" screen, there is another new option that lets you decide whether members can see how old other members are.  If you elect to hide members' ages from other members, then regular members (non-admins) can only see the DAY and MONTH of other members' birthdays - not the YEAR.  Administrators of the member database can still see (and change) any member's full birthday, including the year.  In the same spot, there are two similar options that govern PARTNER birthdays and anniversaries.  The year can be hidden in those entries as well (from non-admins).  Note that several HarmonySite websites already had these birth-years hidden - but up until now, that option could only be set by us here at HarmonySite (the developers), not the actual website administrators themselves.  Now you can set it yourselves, without our intervention.  Note also that a couple of HarmonySites do not store birthdays as proper dates AT ALL.  In such websites, the "Date of birth" field for each member is simply free text.

If you have any difficulty in accessing or using these new features (or anything else), please let me know.

Cheers,

Mark Virtue
